Creating and Managing Customers in Niobi
Building a customer database in Niobi makes invoicing faster and more professional. Instead of manually typing customer details every time you issue an invoice or payment request, you can create customer profiles once and reuse them instantly across your workspace.
Time to complete: 2–5 minutes per customer.
\Why Create Customer Profiles?
- Time Savings: Select your customer from a dropdown menu to auto-populate their entire profile, eliminating repetitive typing or copying and pasting.
- Professionalism: Ensure consistent corporate naming, correct billing/shipping addresses, and tax details across all issued documents.
- Payment Tracking: Link invoices directly to a single profile to track outstanding balances and payment history at a glance.
- Audit Readiness: Keep structured records of corporate tax IDs (such as PIN, TIN, or VAT numbers) to remain fully compliant with regional tax regulations.
Step-by-Step Customer Management
Method 1: Creating a Customer Manually (One by One)
- Navigate to Customers
- Locate the Portal: Log into your Niobi dashboard at <https://app.niobi.co>. On the left sidebar menu, expand the Inflows section and click on Customers.
- Trigger Form
- Open Creation Window: In the top right corner of the customers directory, click the Create New button.
- Input Data
- Fill Compulsory Fields: Complete the customer details form.
Note on Required Fields: Any field marked with a red dot (∙) is strictly compulsory and must be filled out before the profile can be saved.
- Basic Information: Input the legal Business Name, Primary Email Address, and Phone Number.
- Tax & Billing: Enter the customer's physical/billing address and regional Tax ID (if applicable for corporate compliance).
- Execute Order
- Save the Profile: Review the information for spelling and accuracy, then click Save to add the client to your active database.
Method 2: Importing Customers in Bulk via CSV Template
If you are migrating from another accounting software or have a large roster of existing clients, you can upload them all simultaneously.
- Navigate to Customers
- Locate the Portal: Go to Inflows on the left sidebar and select Customers.
- Trigger Form
- Access the Import Tool: Click the Import Customers button located in the top right corner of the screen.
- Input Data
- Download and Populate Template: Click the link to download Niobi's official CSV file template. Open the file and input your customers' data into the designated columns.
Critical Warning: Do not change, rename, or rearrange the template's column headers (column types). Modifying these headers will break the data mapping and cause your upload to fail.
- Execute Order
- Upload and Finalize: Save your completed file in format. Drag and drop or upload the file back into the Niobi import window, review the preview mapping, and click Confirm Import to populate your database.
